THE PROJECT

Our client had managed inventory and ledgers manually with pen and paper across multiple branches and crews. This process was inefficient, error-prone, and time-consuming. They needed a faster, accurate, and accessible digital solution that could run on tablets while staying fully offline to meet compliance requirements. The goal was to digitalize the entire ledger management system, replacing paper records with a mobile application that enables real-time tracking of articles, QR code integration, and secure data management across hierarchical organizational structures.

01 Objectives

The client wanted to eliminate paper-based ledgers and move their entire article management system to tablets. Our objective was to deliver an offline-first mobile application that enables branch and crew management, digital ledger creation, article tracking with QR codes, and office inventory management. The system needed to be intuitive, secure, and capable of importing existing data from Excel files while maintaining data integrity across all operations.

02 Challenges

The transformation from paper to digital presented several key challenges:

  • Offline compliance requirements. The system had to function entirely offline due to operational and compliance restraints, with no reliance on constant internet connectivity.
  • Migration of existing paper records. Years of handwritten ledger data needed to be imported into the new digital system efficiently and accurately.
  • Complex hierarchical structure. The organization has multiple branches, crews, and offices, each with their own ledgers and article inventories. The system had to reflect this structure while maintaining proper data separation.
  • QR code integration for tracking. Implementing QR code functionality for quick article identification and record updates required seamless integration with the mobile app and offline database.
  • User adoption across roles. Different user types (administrators, managers, data entry personnel) needed appropriate permissions and an interface simple enough for field use.
  • Data backup in offline environment. Ensuring data could be backed up and recovered without cloud connectivity required a robust local backup strategy.

03 Solutions

We developed the E-Ledger application entirely for Android tablets with a focus on offline functionality and ease of use. Key solutions included:

  • Offline-first architecture. The app was built with React Native and SQLite, allowing full functionality without internet connectivity. Data is stored locally and syncs when connections are available.
  • Excel import capability. We created a powerful one-click data import system that reads properly formatted Excel files and automatically creates branches, crews, ledgers, and article entries, enabling seamless migration of years of paper records.
  • Hierarchical data management. The application organizes articles by branches and crews, with separate sections for office inventory, and applies access controls based on user roles.
  • QR code scanning and generation. Every article in the catalogue has a unique QR code. Users can scan codes to instantly view details, update records, or generate new codes for newly acquired items.
  • Role-based authentication. Token-based authentication ensures secure access. Administrators have full control, managers oversee their branches, and data entry personnel can only modify assigned ledgers.
  • Comprehensive dashboard. A clean, intuitive interface gives users an overview of key metrics, recent transactions, and inventory status across their permitted branches.
  • Local backup and recovery. Built-in backup functionality allows users to save data locally and restore it in case of device failure or replacement, even without cloud connectivity.
